Review of Kick-off Event

 

We discussed the breakfast.  Everyone was thrilled with the turn out and the positive comments that were shared by so many. 

 

After-School Summit Discussion

 

Site

We reviewed the Summit event.  We have use of the Crowne Plaza rooms for our April 14th event.  We will be able to divide the larger room into small break-out rooms and have use of additional break-out rooms. We need approximately 300 participants to cover the $6,000.00 cost.  With a $25.00 registration, that will cover the costs for facilities, food and give us approximately $1500.00 to use for other needs.

Please let Bruce Johnson if you can bring flip charts, markers for the day.

 

Invitations

Laurel will get a list of those who participated in the breakfast event to cross check with master mailing list and will send out by end of week.

 

Agenda

We went over a tentative agenda

8:00 a.m. – 8:30 a.m. – Registration

8:30 a.m. – 9:15 a.m. – Welcome/Speaker

9:15 a.m. – 10:00 a.m. – Myrna – Open Space Technology

10:15 a.m. – 12:00 noon – Working Session

12:00 a.m. – 1:00 p.m. – Buffet Lunch/Speakers

1:15 p.m. – 3:00 p.m. Working Session

3:15 p.m. – 4:00 p.m. Reporting out/closing

 

Because Open Space allows for a more open format, we talked about being able to take breaks when needed but will build in a couple of breaks.   This will help with the buffet line, as work groups finish up.

 

 

 

 

Speakers

We discussed having a welcoming speaker and having youth speak during the lunch time.

Kathy will talk to Barbara Shaw from Violence Prevention Authority about speaking.

 

 

Facilitators

We will need facilitators for each break out session along with a recorder. 

We also discussed having a session with Myrna Torres from Prevention First before the 14th to go through the process. If would be helpful to have committee members identify individuals or serve themselves in those capacities.  Laurel will check with Myrna to get possible dates to meet with her.

 

 

Packets

We will be putting together packets for each participant.  It needs to include a list of those attending, an overview of Open Space Technology and what our format is for the day.

 

Sponsorship

The Latino Coalition is interested in being part of the planning.  Laurel will get in touch with Rosa Reyes-Prosen to invite to our next meeting.

 

Published Proceedings

We decided to distribute the documents after the event to assure consistency of formatting.

 

After the Summit

We discussed having a press conference to present the findings of the event.
